DEPARTMENT:                      Management Information Systems

SCOPE OF RESPONSIBILITY

Reporting to the Director of Management Information Systems, position is responsible for providing administrative support in a technical environment in which computer-related vocabulary and jargon are pervasive.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; other duties may be assigned.  Management retains the discretion to add to or change the duties of the position at any time.

  • Provide administrative support to department Director and, as needed, to others in the department.
  • Perform data entry and data cleansing of service desk ticketing system for all ticket types.
  • Manage purchasing activities including gathering requests, submitting requisitions, and reconciling deliveries.
  • Provide account coding for invoices such as phone bills that are submitted for approval.
  • Coordinate approval routing, retention, and renewal of contracts and similar documents.
  • Coordinate incoming and outgoing delivery of mail, forms, and similar documents.
  • Liaise with all department vendors and providers.
  • Receive customers, visitors, and coworkers by acting as initial point of contact in the department.
  • Assist co-workers with support functions when requested.

Regular Hours

Full time:  must be regularly available to work at least 8 hours per day, 40 hours per week, or such other days or hours per week as The Blood Center determines are necessary to meet business needs.

Overtime (applicable only to non-exempt positions)

Must be available and willing to work such overtime per day or per week as The Blood Center determines is necessary or desirable to meet business needs.

Weekend and Holidays

Must be available and willing to work such weekends and holidays as The Blood Center determines are necessary or desirable to meet its business needs.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

 

QUALIFICATIONS

EDUCATION AND EXPERIENCE

High school diploma required, prefer Associates Degree from an accredited college or university in Office Administration.  Two years of hands-on word processing experience.  Two years of experience in Voice Mail, telephone and long-distance systems administration.  Ability to organize and coordinate multiple projects, effective communication and analytical skills.  Must work well with people and be customer-oriented.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence, independently.  Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.
