SCOPE OF RESPONSIBILITY
The Operations Support Manager leads the operational support functions of the Advanced Therapies program, including scheduling, inventory management, processing coordination, accreditation readiness, business reporting, operational planning, and process improvement activities.
The role serves as a key operational partner to the Director, Advanced Therapies and provides leadership for operational support resources while coordinating activities across clinical, quality, finance, donor collections, and corporate support functions.
The position is responsible for ensuring operational readiness, supporting accreditation and regulatory requirements, monitoring program performance, and implementing initiatives that support growth, scalability, and operational excellence.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Operations & Program Coordination (30%)
Coordinate operational support activities across scheduling, inventory management, product processing, and program support functions.
Serve as the primary operational liaison between Advanced Therapies and internal stakeholders, including Finance, Human Resources, Donor Collections, Quality, and Medical Leadership.
Facilitate communication and coordination across departments to support program objectives and operational effectiveness.
Support implementation of new initiatives, services, technologies, and operational improvements.
Monitor operational activities and escalate issues, risks, or resource needs as appropriate.
Serve as the primary liaison to Corporate Quality and coordinate quality-related operational activities, accreditation requirements, audit readiness activities, and compliance-related operational support.
Coordinate FACT, AABB, FDA, client, and regulatory readiness activities across the program.
Coordinate implementation readiness activities associated with new clients, products, protocols, and service expansions.
Inventory, Processing & Scheduling Oversight (25%)
Provide oversight of scheduling, processing, inventory management, chain-of-custody, and product traceability activities.
Ensure operational processes are performed in accordance with established regulatory, accreditation, client, and organizational requirements.
Monitor workload trends, utilization, and operational capacity.
Support collection readiness activities and operational planning.
Identify and implement process improvements that enhance efficiency and scalability.
Analytics & Reporting (20%)
Develop and maintain operational dashboards, scorecards, reports, and performance metrics.
Analyze operational, scheduling, inventory, utilization, and productivity data to support decision-making.
Prepare reports, presentations, and recommendations for Advanced Therapies leadership.
Monitor trends, risks, and opportunities and escalate concerns as appropriate.
Support forecasting, capacity planning, workforce planning, and operational performance reviews.
Monitor collection volumes, client demand forecasts, operational capacity, and program utilization trends.
Operational Readiness & Continuous Improvement (25%)
Support operational readiness activities associated with program growth, implementation projects, accreditation activities, and center readiness initiatives.
Coordinate implementation of process improvements and workflow enhancements.
Coordinate operational preparation and follow-up activities associated with audits, accreditation reviews, and regulatory inspections.
Support the development and maintenance of operational policies, procedures, work instructions, forms, and other controlled documentation.
Review operational policies, procedures, work instructions, forms, and related documentation for accuracy, completeness, operational applicability, and alignment with established requirements.
Lead assigned projects and operational improvement initiatives.
Coordinate accreditation evidence collection, readiness assessments, and operational responses to audit and accreditation findings.
Partner with Corporate Quality on corrective action implementation and continuous improvement initiatives.

Required Qualifications:
Education
Bachelor's degree in Healthcare Administration, Business Administration, Operations Management, Supply Chain Management, Finance, Data Analytics, or a related field.
Experience
Minimum four - five (4-5) years of progressively responsible experience in healthcare operations, blood banking, cellular therapy, laboratory operations, biotechnology, biologics manufacturing, or another highly regulated environment.
Experience coordinating work across multiple functions and stakeholders.
Experience developing operational reports, dashboards, and performance metrics.
Demonstrated experience identifying and implementing process improvements.
Strong analytical, organizational, and problem-solving skills.
Certifications/Licenses
Professional certifications
PMP, Lean, Six Sigma, Project Management, Supply Chain, or Operational Excellence certification or willingness to complete within 12 months of joining the organization.
Preferred Qualifications
Experience within blood banking, apheresis, cellular therapy, Advanced Therapies, healthcare operations, or biologics environments
Experience supporting operational readiness initiatives, accreditation activities, or implementation projects.
Experience working with operational reporting tools and business analytics.
Project management, Lean, Six Sigma, or continuous improvement experience.
Experience working in highly regulated healthcare environments.
Working Conditions & Physical Demands:
Work Environment: Work is performed in a combination of office, clinical, laboratory, and operational environments.
Physical Requirements: Frequent sitting, standing, walking, and computer use.
Ability to move throughout clinical, laboratory, collection, processing, and operational areas.
Occasional lifting or movement of materials and supplies up to 25 pounds.
Ability to participate in meetings, operational reviews, and readiness activities across multiple locations as required.
Travel: Limited local and occasional regional travel may be required.
Travel may be necessary to support operational planning, implementation activities, training, meetings, accreditation activities, or business needs.
Schedule: Primarily Monday-Friday.
Occasional evening, weekend, or extended hours may be required to support implementation activities, operational readiness, accreditation requirements, audits, project work, or program needs.
