The Manager, Executive Support Services (ESS) is responsible for leading and coordinating the work Executive Assistant team in support of GCB’s executive leaders. This role ensures consistent, high-quality administrative support including scheduling, calendaring, executive material preparation, and board-level documentation. The manager sets standards, coaches team members, and serves as a point of alignment and escalation across executive support needs.

In this role, you will:

  • Serve as the Executive Assistant (EA) for the CEO including travel, expenses, and calendars.
  • Supervise and guide a team of Executive Support Specialists (ESS) who support senior leaders across the organization.
  • Coordinate executive scheduling to minimize conflicts and prioritize strategic time commitments.
  • Leads the coordination, scheduling, and agenda planning and materials planning of designed organizational meetings including Transformation Team Meeting, Operations Leadership Team Meeting, 1:1s and organizationally chartered meetings.
  • Manage timelines and quality control for all board meeting materials, ensuring timely and accurate submissions.
  • Coordinates specialized ownership across Executive Support pool ensuring reliable coverage on Governance Support, Event and Engagement Planning, and CEO success measures.
  • Develop and maintain standard processes, tools, and templates to support a consistent and professional approach across the ESS team.
  • Serve as a liaison between the ESS team and executive leadership to triage requests, resolve challenges, and elevate performance standards.
  • Identify development needs and provide coaching and feedback to ESSs.
  • Support the alignment of executive communications and ensure confidentiality, professionalism, and attention to detail in all deliverables.
  • Facilitate regular check-ins with the ESS team to ensure coordination, share best practices, and reinforce expectations.

We need someone who has:

  • Associate's degree from an accredited two-year college or technical school or equivalent work experience.
  • Strong business acumen; a minimum of five years’ executive administrative or office management experience. Medical terminology knowledge strongly preferred.
  • Three plus years’ project management experience.
  • Minimum one year of team leadership experience with demonstrated ability to lead others, manage priorities, and coordinate complex workflows.
  • Strong organizational and communication skills with exceptional attention to detail.
  • Experience with board material preparation and executive-level documentation is preferred.
  • Proficient in Microsoft Office Suite and other administrative and scheduling tools.
  • Maintains discretion and professionalism in all aspects of the role.
