SCOPE OF RESPONSIBILITY

The Scheduling and Projects Operations Coordinator is responsible for managing, directing and overseeing the operations and administration of staff schedules, projects and overall operations within NDC Operations. This role provides visible leadership, accountability and authority over high profile projects and programs. The Coordinator works independently and exhibits a high degree of initiative in resolving problems encountered and developing recommended solutions.
 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; other duties may be assigned.  Management retains the discretion to add to or change the duties of the position at any time.

  • Leads the staff scheduling program for all Houston-based neighborhood donor centers (NDCs).  Responsible for ensuring all NDCs are properly staffed on a daily basis. 
  • Provides visible and accountable leadership that oversees the successful delivery of NDC Operations projects and programs for internal clients and donors; helps develop new opportunities for donor growth.
  • Ensures Change Management Process is utilized in order to maintain compliance and effective customer service outcomes.
  • Leads projects relative to milestone completion while managing both resource and financial under budget constraints.
  • Monitors and maintains client and internal project executive satisfaction by engaging in weekly or monthly status briefings and updates with NDC management staff.
  • Coordinates, creates, and leads SOPs, validation plans and test cases to ensure projects are completed from infancy state to implementation.
  • Participates in and helps author, revise and modify applicable SOP’s and Change Control requirements.  
  • Provide broad range of administrative and technical support to the Manager and all facility staff.
  • Monitor and report on neighborhood donor center performance metrics and work with department management to address operational deficiencies.
  • Perform neighborhood donor center assessments and ensure timely completion of applicable corrective actions.
  • Act as back-up manager or staff as needed.
  • Initiate counseling of staff on performance problems; coordinate with staff's manager to assure that appropriate action is taken.
  • Assist with promotional events and activities.

Regular Hours

Full time:  must be regularly available to work at least 8 hours per day, 40 hours per week, or such other days or hours per week as The Blood Center determines are necessary to meet business needs.

Overtime (applicable only to non-exempt positions)

Must be available and willing to work such overtime per day or per week as The Blood Center determines is necessary or desirable to meet business needs.

Weekend and Holidays

Must be available and willing to work such weekends and holidays as The Blood Center determines are necessary or desirable to meet its business needs.

QUALIFICATION REQUIREMENTS

EDUCATION AND EXPERIENCE

High School Diploma or GED (Associate Degree from an accredited college or university is strongly preferred); minimum three (3) years experience required as a supervisor in blood banking environment including phlebotomy and apheresis skills; or equivalent combination of education and experience.  Experience must include working in a position involving frequent interaction with the public and the use of customer service skills.

 

CERTIFICATES, LICENSES, REGISTRATIONS

Certificate of Phlebotomy desirable.

EMT Certification or licenses in a related field a plus.

Valid Texas Driver's License and acceptable driving record.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business/ professional journals, technical procedures, or regulations. Ability to write reports and/or business correspondence. Ability to effectively present information and respond to questions from groups of managers, customers, other employees. Must be proficient in Microsoft tools including, but not limited to, Microsoft Office suite of applications.
 

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.  Must be able to generate and manage detailed project plans. Must be able to manage technical resources working on multiple projects seamlessly. Must be an excellent communicator - both written and oral. Must have excellent customer relationship management skills. Must be able to run project update meeting with both technical and non-technical attendee's. Must possess leadership qualities and skills that motivate project team members to drive the project to a successful conclusion. Must demonstrate effective team collaboration skills and proven success to drive acceptable customer satisfaction results.
